The Role
The Admissions Coordinator will join a nimble Admissions team that plays a critical role in identifying future members of the Minerva student body. This role ensures that our innovative admissions process continues to set the standard for effective and data-driven selection. This individual will both support students in applying and help facilitate their successful evaluation by monitoring multiple aspects of the process.
The central responsibilities of this role include assisting with application evaluation, facilitating online communications with prospective students, and ensuring the accuracy and integrity of submitted application materials. With the help of a part-time workforce (50+ evaluators), the Admissions Team analyzes over 10,000 applicants between August and May each year.
This role is perfect for someone excited to work with a diverse global body of applicants and who has an interest in learning more about talent identification and the operations behind making principled decisions at scale.
Key responsibilities
Applicant Communication:Manage communications with applicants, counselors, and references via our online messaging platform (Slate), with guidance from the Associate Director. In this role, the Admissions Coordinator will receive guidance from the Associate Director for Admissions Operations and Director of Admissions to ensure that questions are answered in a thorough and timely manner.
Managing work-study students who assist with this process throughout the year, particularly those on the Slate, Integrity Check, and Quality Assurance sub-teams.
Developing and maintaining a scalable solution to answering external questions, “Minerva college application counseling” at scale so that we create a level playing field for all applicants.
Manage system connection to Common App platform and communication to applicants who start their applications through Common App
Presenting the admissions process during Minerva's Virtual Open House events to prospective students and parents
Evaluation Operations & Quality Control: Working with the Associate Director for Admissions Operations to make sure evaluations are completed by our part-time workforce efficiently and accurately
Ensuring that part-time worker assignments are completed on schedule, sufficient work is assigned to meet weekly hourly commitments, and hours are accurately reported
Assist in identifying ways in which evaluators can improve their evaluations, including staying on track for training completion and providing performance feedback to evaluators directly
Develop training materials for Quality Assurance, Integrity Check, and Verification processes
Application Evaluation: Regularly evaluate applicant material using rubrics and decision trees developed by the Admissions team and provide additional support during peak evaluation times.
Coordinate the family discussion process with the Enrollment team to ensure strong fit for the Minerva University curriculum and methods
Information Verification: Ensuring that application information is interpreted accurately and substantiated with evidence.
Developing a thorough database of school and student organization/club information that Admissions can use to make more accurate and efficient evaluation decisions.
Responsible for ensuring the integrity of applications and conducting further quality assurance in a time-sensitive fashion. This might include internet research, phone calls to school counselors and regular communication with other third-party references, or other creative solutions.
